Ordering documents remotely — how it works
Can you order documents without coming to the country? Yes, you can. We request documents, affix an apostille, carry out consular legalization and nostrification, prepare translations and deliver the result by courier — you don’t need to go anywhere. Below is the entire process step by step and the payment procedure, with no hidden conditions.
How the process works
- You contact us with a request: which document you need, date and city of receipt (issue), date and city of the event. For example: a duplicate was issued in one city, while the birth itself took place in another — this is important.
- You specify what exactly is needed: to request the document, apostille it, consular legalization, nostrification (recognition) of a diploma or certificate.
- You specify for which country the document is needed and for what exact purpose — often this is a decisive factor that determines the processing route.
- We clarify whether a translation is needed and an apostille on it (or legalization of the translation, or a translation via the consulate).
- To calculate delivery, you provide the exact address for delivery. The courier delivery cost is calculated automatically.
- You agree to the order amount. Payment is made after our representative receives your power of attorney.
- Our representative contacts you to clarify details — or you contact them yourself, if that is more convenient.
- You send us your documents.
- After receiving your documents in hand (usually a power of attorney and a copy of your passport), we confirm their receipt from the courier.
- You pay 70% of the order.
- We carry out the order and send you a scan of the finished document. You pay the remaining amount — 30%, the cost of translating your power of attorney (if it was translated) and the return courier shipment.
- We send you the documents via courier service.
How payment works
- Don’t pay anything in advance “into thin air.” Payment begins only after your power of attorney is physically received by our representative.
- 70% — after confirmation of receipt of your documents (power of attorney, passport copy).
- 30% + translation of the power of attorney (if required) + return delivery — after you have received a scan of the finished document.
- In some countries — for example, in Moldova and Armenia — a scan of a document with a QR code is itself a finished electronic document. Therefore, until full payment, we send the scan without the QR code. We ask for your understanding.
What will be required from you
- Power of attorney for our representative (executed before a notary at your place of residence; if necessary, we send the ready-made text).
- Passport copy (page with personal data).
- Copies of existing documents and exact details: full name as in the document, dates and cities of the event and of issuance.
- Delivery address and the country for which the document is being prepared.
Frequently asked questions about ordering
Do I need to come in person?
No. The entire process is handled by power of attorney: the representative submits and receives documents on your behalf, and the result arrives by courier at your address.
Why is the payment split into 70% and 30%?
This way the risk is shared between the parties: we begin work and bear the expenses (fees, trips, translations) only after a confirmed order, and you pay the remaining amount after seeing a scan of the finished document.
How long will this take?
It depends on the country, authority, and type of document: from several days (apostille on an existing document) to several weeks or months (retrieval of an archival document). We provide exact timeframes after clarifying the order details.
What if the document is not found?
If the archive or authority issues an official refusal (document not preserved, no record), we pass this response to you — it also has legal force and is often needed for court or a consulate.

What these services mean
To make it easier for you to fill out the application, we briefly explain the terms — which procedure is needed for what.
- Apostille — simplified legalization for countries of the Hague Convention of 1961: one stamp on the document, and it is valid in all member states. No additional consular certification is needed.
- Consular legalization — a procedure for countries that do not accept apostille (UAE, Qatar, Kuwait, Egypt, China, and a number of others). The document goes through a chain: notary → Ministry of Justice → Ministry of Foreign Affairs of the issuing country → consulate of the destination country. Longer and more expensive than apostille, but without it the document will not be accepted there.
- Nostrification (recognition) — official recognition of a diploma, certificate, or other educational document in another country: confirmation that your qualification corresponds to the local one.
- Notarized translation — translation performed by a qualified translator, and a notary certifies the authenticity of their signature. Such translations are accepted in CIS countries and in most European countries.
- Translation by a sworn (court) translator — a translator sworn in in the destination country (Spain, Italy, France, Germany, Poland, Czech Republic, Romania, etc.). Their seal has official status, so separate legalization of the translation is usually not required.
- Translation by a consular translator — translation performed or certified by the consulate of the destination country. Needed where local notarized translation is not accepted: often this is Arab countries and China.
- Apostille on the translation — apostille is placed not only on the document itself, but also on the notarized translation. Sometimes a “double apostille” is required: on the original and on the translation.
